POV: You Coordinate Your Best Friend’s Wedding

I’ve officially hit the age where my friends are getting married and Evelyn and Kyle’s wedding marks a first in this new era. They have been together since 7th grade and have always been an easy going duo.

As part of my wedding gift, I stepped into the role of Day Of Coordinator to ensure they could focus on enjoying their day. I’m a firm believer of “plan before so you can enjoy while you’re there”, so I still celebrated plenty.

A Quick Prep Session Before the Wedding

I love Evelyn and Kyle, but it is safe to say planning and organizing events is not their strength. Evelyn handed off this spreadsheet with tasks that needed to be done day of. After reviewing it, I asked her specific questions about vendors and tasks so I could fill in the missing information. She sent me a rudimentary layout drawing as well.

  • Clarifying tasks by adding specific details and improving readability

  • Adding an additional tab for general event information and a day of timeline

  • Made the venue layout more legible so people would know where to place items

Day of the Wedding

The wedding came and went quickly and smoothly.

The only bump in the plan was that the vendor providing the linen set up did not provide enough labor to complete the chairs in time. No problem! We had enough hands on deck and tied the bows on the chairs before guests arrived.

Throughout the event, people came to me with questions about their assignment and I provided direction. During the party, I had alarms set on my phone as a reminder of certain tasks like announcements and setting up dessert.
